Your interview and your data

A company has invited you to an interview. The interview is done by Kira, an AI interviewer made by Kira-AI. This page explains what happens to your voice and your answers.

The company that invited you is in charge of your data. We only handle it for them. So if you want your data changed or deleted, they decide. We do the work.

Kira is not a person. It is software. It speaks and listens, and it asks the questions the company chose.

The interview is recorded. We save the audio. We also save the text of what was said, word for word. You are told this before you start, and you have to agree before anything is recorded. If you do not agree, the interview does not begin.

It is a voice conversation. There is no video. We never ask for your camera. There is no test, and no clock on each question. Nobody is rushed. An interview can run up to 90 minutes, and almost nobody reaches that.

You can stop at any time. If you stop, the answers you already gave stay with the company.

• Your name, if you gave one, and your email address.
• The audio of the interview.
• The text of the interview, word for word.
• The date and time, and how long it took.
• A report about your answers. It gives a score from 1 to 5 for each thing the company wanted to ask about, a short explanation, and real quotes from what you said.
• Notes and ratings that people at the company write about you afterwards.
• Your feedback about the interview, if you send us any.

We do not ask for your CV, and there is nowhere to upload one. We do not save your phone number, your address or your date of birth.

Three groups, and no one else.

• The company that invited you. Their hiring team can read the report and the full text of what you said. The recording is stored for them too.
• Google. The AI that talks to you is made by Google. Your voice and your answers go through Google while you speak, and the text goes to Google again to write the report. They handle it for us and are not allowed to use it for anything else.
• A few companies that run our systems. They store the data and send the emails. They are listed on our /legal/privacy page.

A small number of our own staff can look at data when the company asks us to fix a problem. Every time they do, it is written down in a log.

We never sell your data. We never use it for advertising. We never use it to train AI.

This is the most important part of this page. Kira never rejects anyone. It cannot. The software has no way to say yes or no about you.

What Kira does is write down what you said and score the answers.

What happens next is decided by a real person at the company. They read the report, and they can read your words and hear your voice. They choose. If they say no, that was their choice, not the AI’s.

Some AI interview tools try to judge people from how they sound. We do not. The AI is told, in writing, that it must never do any of this:

• Guess your personality, your mood, your feelings or your “culture fit”.
• Judge you for pauses, for sounding nervous, or for saying “um”.
• Judge your accent, your grammar or your choice of words.
• Guess your age, sex, background, religion, health, disability or anything else about who you are.
• Say whether you should be hired, or put you in a ranking.

There is no lie detection and no face analysis. When the report is written, the AI is given the text of the interview, not the sound of your voice.

One exception, and it is a fair one: if the job needs a language, the company can ask about your level in that language.

Your recording, the text and the report are stored in Europe. The audio is in storage in the EU. The database is in Germany. The servers that run the interview are in the Netherlands.

While you are speaking, your voice goes to Google’s AI. Right now, that part may be handled outside Europe. We are working on moving it into Europe.

Your interview is kept until someone deletes it. It does not disappear on its own after a set time.

The company that invited you decides how long to keep it. Ask them. They should tell you in their own privacy notice.

You can ask for:

• a copy of what we hold about you;
• a mistake to be corrected;
• your interview to be deleted;
• us to stop using your data.

How to ask. Write to the company that invited you. They are in charge of your data. You can also write to us at ▲Support email — VV to supply and we will pass it on and act on it.

What happens when you ask to be deleted. We delete your record, your recording, the text and the report. We check that the audio file is really gone. We keep one thing: a short proof that a deletion happened, which does not contain your name or your email. We keep that for two years.

Something to know. Each company is separate. If you interviewed with two companies that use Kira-AI, deleting your data at one does not delete it at the other. You have to ask both.

If you are unhappy with how your data was handled, you can complain to the data protection authority in your country.

That is a fair thing to ask. Tell the company that invited you and ask for a different way to interview.

We cannot decide that for them. Only they can. If you need an adjustment for a disability or a health reason, tell them that too.
